Part 1: Student Residences - Reliable Turnarounds & Emergency Response

Overview:
Trinity Harper Cleaning has managed the student accommodation cleaning for The Bell School since 2019. The residential setup includes three sites during term-time, increasing to five sites and over 300 residents during the busy summer season.

Objective:
To ensure an exceptional student experience by maintaining high standards of cleanliness and hygiene across all living areas, including communal spaces, laundry rooms, kitchens, and individual en-suite rooms.

What We Deliver:

  • Daily cleaning of all communal areas, including kitchens and laundry facilities
  • Weekly cleans of every student room with fresh linen service
  • Deep cleans of all kitchens every six weeks
  • Daily tidying of grounds and courtyards

Peak Period Support:

We manage weekly turnovers during high-pressure move-in/move-out weekends. This includes:

  • Emergency last-minute cleaning
  • Sorting and allocating student rooms
  • Minimising downtime between arrivals
  • Supporting positive first impressions during student check-in

Ongoing Challenges – and How We Solve Them:

1. Tight Turnarounds
With just a 4-hour window every weekend between check-outs and check-ins, our team works with precision and speed. During summer, over 200 additional rooms across two sites are deep-cleaned and prepared within an 18-hour turnaround.

2. Last-Minute Emergencies (24/7/365)
From sudden floods to unexpected messes, we respond quickly—often within the hour—to restore rooms to move-in standards, no matter the time.

3. Complex Room Allocations
Student placements vary (quiet zones, single-gender flats, accessibility needs). Our cleaning and inspection schedules are coordinated closely with Bell’s admin team to support smooth transitions.

Results Since 2019:

  • 99.9% of rooms ready by scheduled check-in time
  • 98% reduction in cleaning-related complaints
  • Significantly improved student satisfaction scores at check-in

Part 2: School Facilities – Supporting Learning with Clean, Ready Classrooms

Overview:
Bell School’s academic site includes 45 classrooms, a science lab, sports hall, dining area, staff offices and admin blocks. We provide daily cleaning services that support both hygiene and operational efficiency.

Team Structure:
A team of 6 cleaners operates from:

  • 06:00 – 09:00 (Mon–Fri) – pre-opening cleans & classroom setup
  • 11:00 – 16:00 – midday cleans, including lunch areas and toilet blocks

Daily Focus Areas:

  • Thorough classroom and restroom cleaning
  • Resetting classroom layouts (desks, chairs, group configurations)
  • Lunch dining hall cleaning and preparation
  • Special attention to specialist areas like science labs and kitchens

Ongoing Challenges – and Our Response:

1. High Footfall
Heavy use of corridors, bathrooms, and classrooms demands daily attention to detail and consistency.

2. Tight Timings
Morning cleaning must be completed before the 08:30 student start, while lunch area cleaning must finish by 15:00.

3. Specialist Cleaning Requirements
Science labs, commercial kitchens and tech rooms require specialist cleaning protocols and trained staff.

4. Unscheduled Room Changes
Last-minute room swaps require agility and flexible team deployment.

Results Since 2019:

  • 96% daily cleanliness rating, up from 58% in previous internal audits
  • Zero days missed, even during COVID disruptions
  • 60% increase in staff & student satisfaction related to environment
  • Improved scheduling = reduced overtime and greater efficiency
